Role and Purpose

• Matrix manage a team of Materials Controllers

• Develop and evolve best practice procurement policies and procedures

• Ensure all Engineering employees are compliant and adhere to procurement regulations, policies and procedures

• Implement and manage the materials management system to drive efficient and effective procedures across the

Engineering Department

• Transform, Implement and manage inventory management processes that will ensure the organisation is achieving

value for money

• Develop and maintain KPIs for key vendor delivery and quality performance

• Develop and maintain governance process for key vendors delivery programmes

• Manage the performance of key programme vendors to contractual terms

• Represent Engineering on internal audits related to materials management or contracts and respond to Internal Audit

recommendations on Materials Management in a timely manner.

• Comply with all relevant Data Protection legislation

• Comply with all Quality, Environmental, Energy, Sustainability, Health and Safety policies and procedures

• Comply with Grievance Procedures, Dignity and Respect Policy, Disciplinary Procedures, and all other Dublin Bus

policies

• Foster good relationships with employees and relevant personnel in own area of responsibility, with Trade Unions,

other departments of Dublin Bus and CIÉ Group of Companies and with relevant external agencies and stakeholders

Summary Areas of Responsibility


Materials Management

• Lead, manage and develop new enhancements for Materials Management module

• Develop new controls to ensure no inventory outages or over inventorying

• Lead, manage and reduce obsolete inventory processes

• Manage stock-take for all Dublin Bus Garages

• Develop and manage Materials Management KPIs

• Monitor, reduce and manage materials budget and spend

• Manage surcharge and spare parts warranty claims

• Manage overdue orders and late deliveries

• Manage distribution of inventory in the company

• Collaborate with Dublin Bus Procurement Department to plan forecasting models

• Negotiate and develop good working relationships with suppliers

• Drive and achieve value for money through material management processes

• Develop Service Level Agreements (SLA’s) and contingency planning to ensure robust procedures are in place to

deliver a quality service

• Create Standard Operating Procedures

• Carry out requests for quotes in collaboration with Procurement Department

• Produce spend reports for tendering process

• Liaise with Chief Engineer to develop a Materials Management Strategy


Contract Management

• Develop contract management plan

• Ensure no over runs on contracts

• Develop and maintain relationships with suppliers

• Develop and maintain relationships with end users

• Ensure terms and conditions of contracts are being adhered to throughout the term of the contract

• Track actual spends and highlight variance in budget and actual spend

• Develop relevant KPIs to assist with analysis of costs and supplier performance

• Carry out periodic reviews to ensure costs are accurate

• Drive automation of processes, where possible

People Management

• Develop a positive and inclusive working environment where all employees are treated with dignity and respect and

where differences are respected, accommodated and valued.

• Deliver training as required

Other requirements

• Third level qualification in supply chain management or relevant field with experience

• Knowledge of Lean Six Sigma

• Excellent working knowledge of SAP

• High level of proficiency in Microsoft Excel & Word
